SICK / ILLNESS POLICY

Due to the nature of our business and children's common susceptibility to contagious illnesses, Simfran Academy has an obligation to its students, families, and staff to provide and maintain a safe, healthy, and sanitary environment. In order to do so, we are required to implement our Sick/Illness Policy.:

If your child displays any of the symptoms/conditions stated below, do not bring them to school:

• DO NOT bring him/her to school with the symptoms listed below.

 

• He/she will be required to be picked up IMMEDIATELY. 

  • Fever of 99 degrees or higher: Child should be free of fever for 24 hours before returning to school. If fever lasts more than 24 hours, a doctor’s note is required once the child is ready to return to school.
  • Diarrhea and/or vomiting within the last 24 hours: Child should remain home for at least 24 hours. A doctor's note is required for prolonged cases of diarrhea and/or vomiting.    
  • Body rashes MUST be seen by a doctor, and a doctor's note allowing the child to return to school must be provided. If the child has ringworm, molluscum contagiosum, or another contagious skin condition, they must be kept home for 3 days before returning to school with a doctor's note and on appropriate medication.
  • Open sores and wounds: May be required to be seen by a doctor.
  • Chickenpox: Child must be out of school for 6 days from the start of the disease. A follow-up doctor's note is required to return to school.
  • Persistent thick green nasal mucous or cough with colored phlegm: Child must have a doctor’s note to return to school.
  • Pink Eye: Child must be receiving antibiotic-eye drops for at least 24 hours before returning to school with a doctor's note.
  • Strep Throat: Child must be on antibiotics for at least 48 hours, be free of fever, and have a doctor's note to return to school.
  • Ear-Infections: Child must be on antibiotics for at least 24 hours, be free of fever, and have a doctor's note Child must be on antibiotics for at least 24 hours, be free of fever, and have a doctor's note to return to school. to return to school.
  • Burns: MUST be examined by a doctor.
  • Head Lice/Warts:Children with head lice or warts will not be allowed to attend school until they have been treated and are lice and wart-free. Parents should notify the school immediately if their child has head lice or warts. Upon returning to school, the child will be checked by a staff member to ensure that there are no remaining lice or warts. For warts, the affected area MUST be treated by a doctor and deemed uncontagious before the child can return to school. Parent(s) will need to provide a doctor's note stating that the wart has been treated or removed and is no longer contagious.

CONSENT FOR DIGITAL MEDIA RECORDING /PHOTOGRAPHY

Dear Parents/Guardians,

During your child’s enrollment, we will take photographs and digital recordings (including but not limited to audio recordings, video recordings and images) of activities that involves your child (students). The photographs/media may be used for school displays, presentations, assessment, advertising and promotional/marketing purposes. In doing so we are able to celebrate your child’s work and activities in the way that we would like and promote the services that are being offered at our school. Additionally, as you know, photography can be a powerful tool for children’s learning and forms an interesting and exciting visual record of work and events. All digital media will be archived and used periodically, as necessary. The staff or professional photographers would be photographing and filming on behalf of our school and will only takes images of activities that show the school and children in a positive light (for example, classroom activities, graduation ceremony, drama and musical performances, sports and prize giving, advertising, etc.) You may request to see the images of your child held by the school and may withdraw your consent at any time by informing the school in writing.

FIELD TRIPS POLICY

Field Trips/Tours/Excursions/Walks Defined: A Field Trip/Tour/Walk/Excursion is any activity that requires students/campers to leave their classroom and school premises. However, at Simfran Academy, there are two types of field trips: A) Field Trips, and B) Short Field Trips.

A. Field Trips/Excursion Consent

Parents/Guardians are required to give individual consent for their child(ren) to participate in field trips/excursions that require the use of a motor vehicle for transportation. Prior to each trip, parents will be notified in advance and a permission slip will be sent home. The signed permission slip, along with the appropriate fees (if applicable), should be returned to the child's teacher as soon as possible. Parents are encouraged to accompany their child on all field trips/excursions. A chaperone is mandatory for children 2 years of age and under, unless expressed otherwise. This consent does not supersede the consent given upon registration for Short Field Trips. Both consents are applied and enforced in conjunction with each other.

B. Short Field Trips

Short Field Trips, such as walks to community parks, the community library, community garden, sightseeing, etc., are a significant part of our routines, activities, and curricula goals. They are provided to enhance our student's development, including their social emotional, physical, cognitive, and language skills. Short field trips can be unplanned and occur throughout the school year. They are done on foot (walking) or with the use of strollers, and no motor vehicles will be used.

Consent for Short Field Trips

Consent for Short Field Trips is given by parents/guardians upon the successful registration of their child. Parents/guardian are given the option to consent or not to consent, for their child’s participation in short field trips. Once consent is received, the consent is valid for the life of their child’s enrollment in our program. If parents would like to revise their consent, at any time, parents are required to submit their request in writing, to the school administrator.

Supervision on-site, off-site, rest time, and emergencies

The minimum staff/child ratio required for adequate and appropriate supervision shall be maintained during all activities, including but not limited to on-site activities, recreational, trip supervision, off-site activities, supervision during sleeping and rest hours, transportation, and emergencies.

Parental Consent for Short Field Trips

By providing their signature below, parents/guardians give permission for their child(ren) to participate in Simfran Academy's Consent for Short Field Trips (including but not limited to community walks, trips to the park, etc.). By signing this document, they affirm that they have read, fully understand, and agree to the terms specified and stated in the Field Trips Policy.

POLICIES & PROCEDURES

By signing below, I acknowledge that I have read, understand, accept, and agree to the terms specified in Simfran Academy’s Policies and Procedures contract. Furthermore, I acknowledge that failure to comply with the provisions, covenants, or conditions of this contract shall be a material breach of this agreement.

The policies of I Love Me Early Childhood Center Inc. d/b/a Simfran Academy (hereinafter referred to as "we," "our," "school," "program"):

ANNUAL REQUIREMENTS

Simfran Academy is a preschool/daycare/summer camp. Upon registering your child, you commit to enrolling them for one year or 365 days from the date of completing the admission application. Parents/Guardians are required to re-register their child(ren) annually. Failure to re-register your child(ren) in a timely manner will place them at risk for termination of enrollment. You must pay a nonrefundable registration fee of $100.00 upon registration..

TUITION

Tuition is the annual fee/rate charged for the childcare and educational services we provide. We offer various tuition installment payment plans, such as annually (one lump sum), monthly (every 4 weeks), and bi-weekly (every 2 weeks). The tuition installment payments are determined by dividing the total tuition cost by 26 weeks or 12 months. At the end of the year, upon request, all accounts in good standing (zero balance/social security number provided for tax filing parent) will be provided with the end-of-year tuition payment letter, which includes our FEIN number. However, if the filing parent's social security number is not provided or there is an outstanding balance due, the letter will not be provided. In lieu of the end-of-year letter, parents who fail to comply with our mandatory policy will only be provided with the summary of payments notice, which will not include Simfran Academy's FEIN.

Summer Camp

Summer camp tuition costs are based on the total session(s) fee, and payments are determined by dividing the total tuition cost by the total weeks you have selected. Tuition includes the cost of insurance, breakfast, snack, program equipment, and activities. Upon registration for all programs, you agree to pay the annual tuition rate specified for your child(ren). Failure to comply with the Policies & Procedures will be considered a breach of contract. It is our policy that all fees paid (i.e., tuition, security deposit, activity, registration fees, etc.) are nonrefundable and nonnegotiable. We reserve the right to increase our tuition rates with a minimum of thirty days' notice to parents.

  • Calculation: Annual Tuition/52 weeks = your weekly payment
  • Note: Regardless of the number of days your child attends school, you are required to pay the full tuition amount. This policy ensures that we can maintain the quality of our educational program and provide a consistent experience for all students. If you have any questions or concerns about tuition payments, please contact our office for assistance.

Upon registration of your child, you agree to pay the total annual tuition rate in weekly, biweekly (every 2 weeks), or monthly (every 4 weeks) installment payments. If your child is absent due to inclement weather, illness, holidays, vacation, staff training, etc., you are still required to pay your regular scheduled installment payments since this is an annual contract. Additionally, your child’s seat is being held awaiting his/her return. Failure to comply with our policies and procedures is a breach of contract.

Tuition installment Plans
  • Weekly/Bi-weekly policy
If you have opted for the weekly or bi-weekly tuition plan, your tuition payments are due on or before the Monday of that service week(s). If your child will be absent on that Monday, please make your payment in advance or make arrangements for your payment to be dropped off that Monday. Payments not received on the day specified are considered late and are subject to penalties. There are no exceptions to this policy.
  • Monthly Policy
If you have opted for the monthly (every 4 weeks) tuition plan, your tuition payments are due on or before the first Monday of the first week in the 4-week cycle. If your child will be absent on that Monday, please make your payment in advance or make arrangements for your payment to be dropped off that Monday. Payments not received on the day specified are considered late and are subject to penalties. There are no exceptions to this policy.
     FEES:
     •      Registration Fee

At the time of registration a$100.00 (non-refundable) registration fee is due. Registrations fees are non-refundable.


     •      Security Deposit

At the time of registration, a security deposit fee is due. The security payment covers the last week of service provided for your child. The amount required for your security payment is equivalent to your weekly or monthly tuition rate. Security deposit payments are non-refundable.


     •      Activity Fee and/or Book Fee

The activity fee required for all students is $100.00 (non-refundable). This fee will cover the cost of special classroom activities and materials. Fees charged to cover the cost of your child’s educational textbooks and workbooks.


     •      Voucher/Child Care Subsidy

Voucher/Child Care Subsidy is a form of financial assistance provided to families. If it is later learned that your Voucher/Child Care Subsidy is not being fully utilized (i.e., due to consistent absences), your continued need for the voucher/child care subsidy will be re-evaluated and possibly terminated. Your child’s lack of attendance at school will place them at risk for the termination of their voucher/child care subsidy. Excessive absences are not fair to students who are willing to come to school but are placed on the waiting list. Our policy permits a maximum of 12 absences in six months. If your child’s absences exceed the allowed amount, he/she is subject to dismissal.


     •      Late Tuition Payment Penalty

Tuition payments not received in accordance with the Tuition Installment Plan Policy (Bi-weekly/Monthly) that you have selected will be charged a late penalty of $20.00 by the close of that day. Thereafter, your account will be assessed a fee of $1.00 daily, and your child will be placed on Financial Suspension until payment is paid in full.


     •      Returned Check Penalty

If a check is returned by your financial institution for any reason, a $36.00 charge will be assessed to your total past due amount. It is mandatory that you submit payment in full (including penalty) within 48 hours from the time you were notified of a returned check to avoid any additional penalties. If you fail to submit your payment within 48 hours from notification, you will be charged an additional $10 per day until full payment is received. It is important to note that multiple returned checks may result in the cancellation of your account and referral to a collections agency. Therefore, please ensure that you have sufficient funds in your account before issuing a check for payment. (See Late Tuition Payment Penalty)


     •      Late Pick-up Policy

The standard hours of operation are from 7:30am to 5:30pm (post-COVID, unless specified otherwise upon registration), and your child’s teachers would like to leave when the school closes. Dismissal begins at 5:00pm. In the event that you arrive to pick up your child late, there will be a late fee charged for children not picked up by the dismissal time specified upon registration. This fee is to be paid directly to the staff member who is supervising your child. The charge will be $10.00 for the first 5 minutes and $1.00 per minute thereafter. The accumulation of three late pick-ups within a six (6) month period (i.e., September-February) will automatically increase the late fee to $20.00 for the first 5 minutes and $1.00 per minute thereafter. If your child has not been picked up by 5:30 p.m., we will attempt to reach the persons listed on the Emergency Contact List. If our attempts are unsuccessful, the appropriate authorities will be contacted. Payment of the late fees is due immediately and should be paid when your child is picked up. *Consistent lateness or lack of late fee payment will result in your child being placed on temporary suspension or dismissed from the school/program.


     •      Sibling Discount (seasonal/subject to change without notice)

Parents who register two or more siblings qualify for the sibling discount. If two or more siblings are registered, all discounts will be applied to the lower tuition rate.


     •      Monthly Discount (seasonal/subject to change without notice)

Tuition payments received on a monthly basis qualify for the monthly discount. If you opt for the Monthly Tuition Installment Plan, your Security Deposit is equivalent to your monthly tuition fee.


     •      Re-registration

It is the parent’s/guardian’s responsibility to begin the process of re-registering their child no later than forty-five (45) days prior to its required renewal deadline. If the proper paperwork for renewal is not received by us in a timely manner, your child may be at risk of losing his/her seat in their classroom. Reenrollment is determined based on financial history.


     •      Advance Registration

Each attending student can re-register in advance to ensure their seat for the upcoming school year. Advance registration begins in May. If you register your child in advance for the following school year, it is required that your child remain enrolled throughout the summer. If you choose to withdraw your child for the summer, you will forfeit your pre-registered space and deposit, and that space will be made available for another child.

ATTENDANCE POLICY
It is the responsibility of parents/guardians to monitor their child's absences and notify the school in advance when their child will be absent. Additionally, parents are required to submit documentation to support their child's absences. Our teachers begin educational activities at 9:00 a.m. every day and may delay their activities in anticipation of a late child. Please notify us of all absences in advance to allow us to keep track of any illnesses that may occur and take proactive measures.

     •      Preschool/Provider Responsibility

Your child care provider/program director is responsible for forwarding your child's attendance record to the appropriate DSS agency (ACS/HRA, etc.) on a monthly basis. This information is used to monitor your child's continued need for child care services. Consistent absences may result in your case being reevaluated to determine whether you are the best candidate for financial assistance/child care subsidy.


     •      Vacation Discount/Consecutive Absences

We understand that unexpected events may require your child to be absent for 5 to 10 days (vacation/consecutive days) throughout the year. To receive a discount off your tuition installment payment, you must provide us with at least two weeks' notice of nonattendance. You will qualify to receive a 5% vacation discount off your tuition for each full week (Mon-Fri) that your child is out. The vacation discount will only apply when payment is received for the discounted week(s) prior to the absences or vacation; and CANNOT be combined with any other discounts (e.g., monthly and sibling discounts). This discount can only be used up to three times maximum per year. No Exceptions. Your account must be in good standing to qualify for all discounts. If the school's staff or administrators are not previously informed of your child's absences/nonattendance, the discount will not apply, and you will be required to pay the tuition in full. However, absences greater than three weeks can place your child in jeopardy of being placed on our waiting list. Due to our extensive waiting list, it is unfair for the parents, children on the waiting list, and the staff not to meet the full capacity of the classrooms at all times. Exceptions will be made at the program director's discretion.


     •      Subsidized Childcare Attendance Policy

Parents who receive vouchers will jeopardize their child's enrollment if their child is consistently absent from school. Excessive absences are not fair to students who are willing to come to school but are placed on the waiting list. Our policy permits a maximum of 12 absences in six months. If your child's absences exceed the allowed amount, he/she may be subject to dismissal. We reserve the right to fully implement our regulations.


     •      Withdrawal

If you wish to withdraw your child from our school for any reason, a written notice of at least two weeks is required and not negotiable. During this period, full tuition is required, regardless of whether your child is in attendance or not. Failure to comply with school policies may result in additional penalties, such as late fees and attorney fees, and will be considered a breach of contract. We reserve the right to cancel, suspend, deny, or sever a child's enrollment at any time the school deems necessary, in the interest of the child(ren) or the school. If a child is removed from the school for any reason, any credit left on the child's account shall be forfeited.

SCHOOL CLOSINGS
     •      Holiday/School Closings

Upon the registration of your child(ren), you agree to pay the annual tuition rate specified. Considering that fact, if your child is absent due to inclement weather, illness, holidays, vacation, staff training, etc., you are still required to pay your regularly scheduled tuition payments as your child’s seat is being held, awaiting his/her return. In such cases, parents are still liable for the full annual tuition. It is our policy that your annual tuition will not decrease due to nonattendance (see discounts). (see discounts)


     •      Professional Development School Closing

Our school will be closed for (3-5) mandatory days for Staff Training each school year. The specific dates will be announced at least two weeks in advance.


     •      Emergency School Closing

We reserve the right to close the school when it is deemed necessary. In the case of extremely dangerous road conditions, pandemics, or a state of emergency, it will be necessary for the school to close or delay the opening time. A decision to close will be based on the best interest of the students, parents, and staff. In such cases, parents are still liable for the full annual tuition. In the event that the school will be closed due to inclement weather or an emergency, a message will be left on the School’s voicemail. In addition, we will also attempt to contact each parent via telephone, text, or email. However, if inclement weather and/or a natural/man-made disaster becomes known after the school is open, and a decision is made to close early, parents will be notified by phone no less than 2 hours before early closing time. Parents picking up their child after the announced early closing time will be charged a Late Pick-Up Fee. NOTE: If circumstances do not allow us to contact our parents, please look at your local news channel, and if NYC Public Schools located in Brooklyn are CLOSED, our school will be closed as well.

PARENTS/GUARDIANS CONTACT INFORMATION

The contact information you provide will be used solely for communication and marketing purposes. Our means of communication include, but are not limited to, telephone calls, text messages, email, mailing addresses, and social media networks. By providing us with your contact information, you are giving us consent to contact you.

MEDICAL POLICIES / PHYSICAL EXAMINATION

All children enrolled are required by the NYC Department of Health and Mental Hygiene (DOHMH) to have a current and completed physical examination annually. It is the responsibility of all parents to keep track of their child’s vaccination schedule. Any child without an updated medical form by the specified due date will be temporarily suspended. You can delay the suspension by providing documentation of a doctor’s appointment. Failure to do so will result in your child being temporarily suspended until a completed medical form is received. If the physical examination is not updated, your child’s enrollment will be suspended or terminated after the specified due date.

All NYC DOH vaccinations are mandatory unless a medical exemption is approved by the NYC Department of Health and Mental Hygiene (DOHMH). Failure to comply with mandatory vaccinations can result in your child being discharged from school. If your child is discharged due to failure to comply with the school’s policies, you will not be entitled to a tuition refund of any kind, including but not limited to the security deposit.

If a medical exemption request is submitted, the school will forward your request to DOHMH for review. We are not in control of the exemption review process. While your exemption request is being reviewed, we will hold your child’s seat/space for up to 2 weeks. Afterward, you will be required to re-enroll your child. However, your child’s seat is not guaranteed upon reenrollment.
DRESS CODE POLICY
     •      School Uniform

Our dress code policy requires that all students wear their school uniform from Monday to Thursday throughout the school year. Research has shown that school uniforms are not only comfortable and affordable, but they also instill a sense of school spirit, pride, and social acceptance in students. Fridays are considered Dress-Down days, and students can wear an outfit of their choice. Note: No nail polish, hair beads, lipstick, etc. are allowed..



SAFETY

For safety reasons, hair beads, popcorn, seed-like or round candies, open-toe or open-back shoes, and flip-flops are not allowed in school. Footwear with Velcro straps is preferred. Additionally, children are required to wear socks, tights, or stockings at all times..



SUSPENSION/EXPULSION POLICY
     •      Student

If a student continuously exhibits disruptive behavior and/or inflicts bodily harm on another student, the parent will be notified and called to discuss the matter. A record of the meeting will be kept. If such behavior becomes repetitive, that child may be dismissed from our program. Please note: we will make every effort to work with the student's parents and teacher to help resolve the problem before resorting to mandatory dismissal..


     •      Education Neglect

It is imperative that each student not be hindered from reaching his or her true potential. Therefore, if it is determined that a student requires developmental services (such as physical therapy, speech therapy, behavior management, etc.) that are not being offered at our school, their parents or guardians will be informed. If the parents or guardians fail to take the appropriate actions and we are subsequently unable to meet the unique needs of that student, that child may be placed on suspension until such services are obtained..


     •      Medical Suspension

All NYC DOH vaccinations are mandatory unless a medical exemption is given by your child’s physician and approved by the NYC Department of Health and Mental Hygiene (DOHMH). Failure to comply with the mandatory vaccination can result in your child being discharged from school. If your child is discharged due to failure to comply with the school’s policies, you will not be entitled to a tuition refund of any kind (including, but not limited to, tuition payments, security deposit, registration fees, etc.)..


     •      Family Member and/or Acquaintances

The inappropriate behavior of any individual, regardless of their relation to a student, will result in automatic expulsion of that student. This includes, but is not limited to, any form of threat (physical or verbal), altercations, misconduct, and the infliction of bodily harm on staff members. We reserve the unquestionable right to terminate or expel a student if it is determined that we are unable to meet his or her developmental needs.

TERMS: If you wish to change your child’s enrollment status, please do so in writing at least 2 weeks in advance.
     •      Tuition: Fees charged for services provided (such as child development services, educational instruction, childcare services, day camp, etc.).
     •      Full-Time Student: Any student/child that is provided services for 19 or more hours per week.
     •      Part-Time Student: Any student/child that is provided services for less than 19 hours per week.
     •      Hourly Plan : Tuition rate charged on an hourly basis.
     •      Drop-In Student/Service : Any student/child that is provided with inconsistent/random weekly/monthly services. Drop-in student enrollment is determined on a week-to-week basis and can be terminated without notice at the discretion of the Director or designated appointee.
